Accommodation and meals (ICIMOD sponsored participants only)

Your accommodation has been arranged at Hotel Himalaya upon arrival in Kathmandu from 12th to 17th May 2014. You are requested to pay other bills directly, including your non-host bar tabs, if any. Hotel Himalaya can be reached at the following address:

Please let us know if your flight schedules do not match with the above mentioned date due to your personal reasons. Additional nights of hotel accommodation will be at your own expense. But due to flight schedule additional nights of hotel accommodation will be considered official and borne by ICIMOD. Please let us know whether you want us to book for your prolong stay.

Venue of the Conference and workshop 

The conference and workshop will be held at ICIMOD Headquarters in Khumaltar, Kathmandu. 

Transport from Hotel Himalaya to ICIMOD Headquarters and Back

The transport from Hotel Himalaya to meeting venue will be provided each day by ICIMOD. The vehicle will leave from Hotel Himalaya for the meeting venue at 8:15am sharp during the conference/workshop. Kindly arrange your own transport to arrive at the conference center if you miss the vehicle. Transport will be provided back to the hotels after the concluding session of the conference.

Registration 

Registration of the conference will take place on the 13th of May 2014 at 9:00am at ICIMOD Headquarters. Participants are requested to register and obtain conference material and badges at the registration counter.

The conference/Workshop will be conducted in English

Per diem (ICIMOD sponsored participants only)

Meals (breakfast and dinner) are provided at your hotel. Lunch will be provided at ICIMOD. ICIMOD will provide a special DSA of US$20/night in Kathmandu to cover your incidental costs during the meeting. Please note that during your stay at the hotel, each individual will be responsible for your incidental charges posted to the room account. This includes any laundry, telephone and internet charges, salon or spa charges, gift shop purchases, room service, etc. and any beverages or meals that you charge to your room from other locations within the hotel. Your accommodation will be billed directly to our account.

Reimbursements (ICIMOD sponsored participants only)

  • The travel cost will be reimbursed after submission of a copy of tickets, boarding pass and original receipts. (Please bring photocopies of your passports and air tickets also for timely processing)
  • ICIMOD shall bear en route costs, where necessary, upon presentation of original bills on the basis of actual hotel costs, airport tax and visa cost. To cover the cost of meals and other incidentals a DSA of US$ 35/night will be provided for the period of en route stay. 
  • A form will be provided for reimbursements during registration of the meeting. To ensure timely reimbursement you are requested to submit the signed copy of the form to Ms. Neetu Ghale on the first day of the meeting. 

Weather in Kathmandu

Generally the weather in Kathmandu in May is warm and pleasant. The temperatures in the month of May ranges about 35°C maximum (day) and 15°C minimum (night). The conference rooms where the event happens are air-conditioned. Dress for all events and social events are smart casual. 

Currency

Facilities for currency exchange are available at the hotel and at banks. Several money exchange centres also exist at various places in Kathmandu. All convertible currencies are accepted, including Indian Rupees (denominations of less than IRs. 500.00). It is illegal to have in possession the denominations of IRs. 500.00 or more. The conversion rate of  US$ 1.00 is around NRs 96.00 during May 2014.
